How do I send my invoices and/or reminders by email or post as the default?

Payt sends communication by email whenever possible. This article explains when Payt chooses email or post, and how you can adjust these preferences per customer.

When does Payt choose email or post?

Payt uses the following default order:

  1. Is the customer's email address known? Then the message will be sent by email.
  2. Is the customer's email address not available? Then the message will be sent by post.

How can I disable email delivery for a specific customer?

Even if an email address is available, you can choose to send letters instead:

  1. Open the customer page in Payt.
  2. Click 'Customer settings' in the top right.
    customer_settings
  3. Go to the 'Sending settings' tab on the left.
  4. Disable the options 'Send invoices by email' and/or 'Send reminders by email' (the switch turns grey). Invoices and reminders will then be sent by post.

Note: You cannot disable email delivery for your entire administration - this can only be set per customer. However, post delivery can be mostly disabled. Please contact Payt support for assistance.

How can I disable post delivery for a specific customer?

You can also block postal delivery per customer. This is useful if, for example, a customer has an email address but you do not want to send the final reminder by post (by default, the final reminder is sent by both email and post).

  1. Open the customer page in Payt.
  2. Click 'Customer settings' in the top right.
    customer_settings
  3. Go to the 'Sending settings' tab on the left.
  4. Disable the option 'Send invoices and reminders by letter'.

Enabling this setting does not mean that invoices and reminders will automatically be sent by post. Payt will still follow the standard sending order: if an email address is available, the message will be sent by email.

Keeping this setting enabled simply allows Payt to send a letter if needed (for example, when no email address is available or for the final reminder). If you disable the setting, no letters will be sent under any circumstances.
