How can I send my invoices more securely to my customers?

In your administration settings, you can easily decide how securely you want to send your invoices.

You can easily configure how securely invoices are sent to your customers in your administration settings. The settings to manage customer and invoice information security can be found under the ‘Customer portal’ tab. Follow these steps:

  1. Open your administration settings by clicking the cogwheel icon in the top right corner of Payt.
    cogwheel_administration_settings_small
  2. Go to the 'Customer portal' tab on the left.
  3. Here, you will find two settings:
    1. Additional authentication for customer portal access
    2. Privacy sensitive attachments

Additional authentication for customer portal access

You can require customers to complete extra authentication in the online invoice portal (checkinvoices.com) before they can view their data and invoices. This is configured under ‘Extra authentication for accessing the customer portal’. There are four options:

Option Meaning
Additional authentication required for access to every page Customers must complete verification for every page in the portal.
Additional authentication required for access to sensitive information* Customers can only access sensitive information once verified.
Additional authentication required for access to sensitive information* (only for private customers) Private customers must verify to see sensitive information; business customers always have access.
Sensitive information* not accessible. Sensitive information is never accessible to customers.

*Sensitive information = documents and attachments related to invoices

Choosing the type of authentication

After selecting the level of extra authentication, you can choose the type of authentication. You can specify a primary method and a secondary method in case the first is unavailable.

Available authentication methods are:

  • Postcode and house number verification
The customer is asked to enter their postcode and house number.
  • One-time password (OTP) via SMS
The customer receives a one-time password via SMS at the phone number registered in Payt.

Sending privacy sensitive attachments via email

Sensitive attachments include the invoice document (PDF and UBL) and any invoice attachments.

Option What does it mean?
Include attachments Documents are sent as email attachments.
Exclude attachments Documents are never sent as email attachments.
Exclude attachments (private customers only) Documents are only attached for business customers.
