How do I deactivate a debt collection case?
Sometimes, a debt collection case should no longer be visible to your customer. In this article, you will learn how to deactivate a case.
It may happen that you have initiated an debt collection case that is no longer necessary. There are several ways to handle such a case:
- You can waive the collection costs and interest and possibly credit the underlying invoice. The case will be closed, but will still be visible as a completed case for your customer in the online portal.
- You can deactivate the case. This will unlink all underlying invoices, and the case will disappear from your customer's online portal. The invoices will be blocked and can, if desired, be linked to a new case.
How do I deactivate a debt collection case?
- Navigate to the page of the debt collection case.
- Click 'Actions' in the upper right corner > select 'Deactivate'.
- Have any steps already been taken in the case? An additional screen will appear in which you must confirm that you are aware that the customer has already received communication about the debt collection case. Tick both boxes to agree to this and deactivate the case.
- The debt collection case has already been published: the debt collection case has been visible to the debtor. This does not necessarily mean that the debtor has seen the debt collection case, but it does mean that the opportunity has been there. For example: the debtor opens an invoice in the invoice portal, selects “All invoices” in the top right corner and sees the outstanding debt collection case there.
- Steps taken in the debt collection case found: at least one reminder has been sent in the debt collection case, meaning that the debtor has received communication about the debt collection case.

Please note: Deactivating a debt collection case is permanent. Once a case is deactivated, it cannot be reactivated.
What happens to the linked invoices if I deactivate the debt collection case?
What exactly happens to an invoice when a debt collection case is deactivated, depends on the balance of the invoice.
- Has the invoice been paid? Then nothing happens.
- Is the invoice still outstanding? Then the invoice is blocked with the status 'Debt collection case deactivated'.
Would you like to create a new debt collection case after this? Then resume the invoices and select 'Start debt collection case'.
What is the difference between deactivating and deleting a case?
A case can either be deleted or deactivated.
- Deactivating a case: The case is no longer visible to the customer but can still be found in the archive of your Payt environment. This is generally preferred in order to maintain a clear record of what has been communicated to your customer.
- Deleting a case: The case is no longer visible to the customer and cannot be retrieved in Payt. To delete a case, it must first be deactivated.
How do I find a deactivated case?
Are you looking for a deactivated case in Payt? Go to the 'Cases' page (found in the top menu). In the lower-left corner, select the filter 'Show completed cases' and check 'Deactivated' under 'Status'.
