How do I change the email address of my customers in Exact Online?

Within Payt we use three different types of email addresses:

Note: The fields below are the default email fields for the Exact Online <> Payt connection. This might be different for your Payt administration. If this information doesn't help you, please contact support.

General email address

The default email address is used to send reminders, messages and notices. It is also used to send invoices, unless you have specified an email address for invoice sending.

Payt retrieves this email address from Exact Online in the following priority (highest to lowest):

  1. Email address of the contact person linked to the invoice. ('Invoice specific contact person').1
    1. Beware: When using Exact Online, we are limited to a default email address for the invoice specific contact person. That means you cannot distinguish between an email address for invoices and an email address for reminders on invoice level; only on customer level.
  2. Email address of the contact person linked to the address of the customer (priority: 'Invoice address' > 'Postal address' > 'Visiting address').2
  3. General email address on the relations card.

Email address for invoices

The mail address that is entered at 'Digital mailbox', on the address card in Exact Online, is used by Payt as the invoice specific email address. You can find this field using the following steps:

  1. Open the relations card in Exact Online
  2. Open the tab 'General'
  3. In the right column, open the addresses ('View all')
  4. Select the address with the highest priority that is shown, namely:
    1. Invoice address
    2. Postal address
    3. Visiting address
  5. Fill out the email address in the 'Digital mailbox' field.

Mail address for reminders, messages and debt collection reminders

Payt does not import a reminder specific email address from Exact Online. This means that reminders will always be sent to the general email address.

Do you want to differentiate between the mail address for invoices and reminders? Then you can use the invoice specific email address for invoices whilst the general email address will be used for reminders.

Options for Exact Online 

In the tab 'Import' in the administration settings in Payt you can toggle which email address is used where:

Use invoice address instead of relation address

With this toggle you can change the aforementioned ranking of the general email address to give the mail address on the relations card priority, as long as there is no invoice specific contact person selected.

Use invoice address for reminders

By turning on this toggle the mail address for invoices will also be used for reminders and messages. The general email address will be ignored.
